Still scheduling with spreadsheets and group texts?
The patchwork approach costs volunteer hours every week — and coverage gaps only show up when it’s too late.
| The old way | What it costs you | With SAR Vanguard |
|---|---|---|
| Signup sheets & spreadsheets | Stale the day you share them; version chaos | One live roster everyone sees |
| Group texts & phone trees | Buried replies; no record of who confirmed | Self sign-up with an approval trail |
| Qualification tracking by memory | Uncovered roles discovered on scene | Minimum-crew checks on every shift |
| Manual reminders | Forgotten shifts and no-shows | Automatic email + in-app reminders |
| "Who hasn’t pulled a shift lately?" | Gut feel and resentment | Live fair-share stats by shift type |
Everything a volunteer scheduler actually needs
Not a generic signup form with a new label — a duty roster that understands how response teams are organized.
Self sign-up, with guardrails
Members claim open shifts themselves — but sign-ups can require approval, so coverage is never a free-for-all.
Trades that don’t break coverage
Members request swaps with each other. You approve or deny, and the roster stays accurate the whole time.
Qualification-aware rosters
Define the roles and certifications each shift needs. See at a glance whether the minimum crew is actually met.
Availability that means something
Members set unavailable dates and weekly standing conflicts. They’re warned before signing up — and so are you.
Slack + Google Calendar sync
New shifts, sign-up alerts, and reminders post to your Slack channels and push straight to org calendars.
Fair-share stats
Live equity counts show who’s carrying the load — sortable by shift type — so scheduling stays fair and defensible.

Reminders go out automatically, calendars stay in sync, and equity stats keep the workload honest.
Questions
- Do volunteers need to install an app?
- No. SAR Vanguard runs in any browser and is mobile-friendly. Members get email and in-app notifications, and can subscribe to a personal calendar feed.
- Can we control who signs up for what?
- Yes. Sign-ups and trades can require scheduler or admin approval, shifts can be limited by type, and minimum crew requirements are visible right on the schedule.
- Does it work with the tools we already use?
- Shifts post to your Slack channels and sync to Google Calendars automatically. Members can also add a personal calendar feed to Apple or Outlook.
- What does it cost?
- Flat monthly pricing per organization — no per-volunteer fees. Early adopters get founding-rate pricing; contact us for details.
